Sales Module: User Manual
Introduction
The Sales Module is a dedicated environment for managing the commercial lifecycle of services and products. It facilitates the transition from a qualified lead to a finalized service agreement, ensuring all financial and operational data is centralized.
The Sales Home Dashboard
The entry point of the module features five primary navigation cards. Each card acts as a gateway to a specific stage of the sales workflow.
| Module | Primary Purpose |
| Quotation | Draft and manage formal price offers for relevant departments (e.g., Accounts, Sales, Inspection). |
| Sale Order | Generate official commercial documents confirming quantities, pricing, and quality standards. |
| KPIs | Track quantifiable measurements to gauge long-term strategic and financial achievements. |
| Searching | Centralized tool to retrieve historical Quotations and Sale Orders. |
| ERP Dashboard | Real-time visual overview of sales trends and performance metrics. |
Operational Workflows
Managing Quotations
Clicking the Quotation card opens the Quotation List.
- Creating New Quotes: Use the [Add Quotation >] button to open the entry form.
- Monitoring Status: Use the Quotation Status and Sale Order Status columns to identify which quotes have been converted into active orders.
- Key Data Points: The list tracks the assigned Sales Person, the total Amount, and the Validity period of the offer.
Processing Sale Orders
Once a quote is accepted, it moves to the Sale Order List. This screen focuses on execution.
- Scheduling: Track the Expected Scheduled date to ensure timely delivery.
- Service Tracking: Monitor status columns (such as Inspection/Training Status) to track progress specific to the service type.
- Documentation: Reference the Order Reference and Job Order No. for internal auditing and tracking.
Performance Tracking (KPIs)
The KPI section uses a focused Entry Form pop-up for data integrity.
- Target Setting: Users define a Target Month and a specific Date Range (From/To).
- Required Fields: Mandatory fields (marked with an asterisk) ensure that data flows correctly into the analytical dashboards.
Advanced Search & Retrieval
The Quotation/Sale Order Searching screen is designed for high-speed record lookup.
- Filtering: Search by Company (Client), Product, or Date Range.
- Split Results: The interface provides a side-by-side view—Quotations on the left and Sale Orders on the right—for easy cross-referencing.
ERP Sales Dashboard (The Analytics Hub)
When you click the ERP Sales Dashboard card, the system generates a visual summary of your sales performance.
What is on this screen?
Instead of tables and lists, this page displays Charts and Graphs. In a universal ERP system, these typically include:
- Monthly Sales Trend: A line graph showing total revenue over the last 12 months.
- Quotation Conversion Rate: A pie chart showing how many quotes became Sale Orders vs. how many were lost.
- Salesperson Leaderboard: A bar chart comparing the performance of different team members.
- Product/Service Popularity: A chart showing which certifications or products are selling the most.
How to use it?
- Hover for Detail: Most ERP charts allow you to hover your mouse over a bar or point to see the exact numerical value.
- Toggle Legend: You can often click on the legend (e.g., “Year 2025”) to hide or show specific data sets on the graph.
- Real-Time Sync: This dashboard is “live.” As soon as a Sale Order is marked as “Closed” in the Sale Order module, these charts will update automatically.
Why is this important?
The ERP Sales Dashboard is the “GPS” for management. It allows you to see:
- If the team is meeting the KPIs set in the KPI module.
- Which months are the busiest (helping with resource planning).
Where the “bottlenecks” are in the sales funnel.
